As of Friday, May 31 , all internal supplier invoices tied to a blanket purchase order and the Office of Sponsored Programs (OSP) Grant Hierarchy will route to the Grants Shared Service Center for review. This review is to help ensure that grants are charged only approved internal billing rates, comply with the grant agreement, and have appropriate supporting documentation. If there is not adequate detail to support the charges, the Grants Shared Service Center will be sending back the transactions.
Invoices will need to match purchase order unit cost lines to ensure rates are accurate and agree to what was approved on the PO.
Invoice totals will need to be within a $300 tolerance of the approved PO amount, otherwise the invoice will need revised or canceled and a change order must be completed.
The matching validations will help prevent compliance issues on the front end when billing grants internally, though the validations will apply to all internal transactions and not only grant transactions. We highly encourage those uploading internal supplier invoices via EIB to upload the EIB in the OSU3 business tenant first to identify and correct potential errors (invoices in draft status) before submitting in Workday. Please see the EIB for internal order billing job aid found in the Administrative Resource Center (ARC) for more information. If an EIB with errors is loaded to production inadvertently, please run the "Find Supplier Invoices- OSU" report to find invoices loaded in "draft" status that need to be resolved and submitted.
Effective Monday, June 3 , the Tableau report "Delegation History - OSU" has been enhanced to include the new fields and search features listed below.
A new field “Specified Business Process Types” has been added to the report. The new field groups business process delegations into the business process types of: Finance HR, Time Off, and Other. If a user has delegated all business processes for approval, then all four categories will display in the "Specified Business Process Types" field. If a user has delegated only certain business processes, then based on their delegation selections the field will populate only the corresponding process types. The “Specified Business Process Types” filter has also been added to the report.

Microsoft has been making updates to several of its tools, and a new version of Outlook is on the horizon. As part of this update to Outlook, Microsoft will no longer be supporting the Zoom plug-in—instead, you will be able to use the Zoom add-in for Outlook.
Beginning on Friday, May 24 , delegation will be enabled on several Workday business processes. Prior to this change, delegation was only enabled on time tracking and financial business processes. These changes will make the functionality available to human resources business processes.
If you have a step in the process, you will be able to use the "Request Delegation" task to temporarily delegate your work to an appropriate individual because you will be out of the office or otherwise unavailable to complete or approve transactions in Workday. Effective May 24, 2024 , a revised interim Earnings Operations policy will be issued. Changes were made to advance compliance with current Office of Management and Budget Uniform Guidance, the authoritative set of rules and requirements for federal awards management, and thereby reduce the risk of waste and misuse of federal funds. These changes are listed below.
Refreshing the definitions of the different types of earnings operations. Requiring earnings operations to use the proper accounting processes. Requiring earnings operations to post their fees publicly. Providing guidance around the tracking and recording of capital assets. Requiring ERIK approval of any earnings operation that plans to charge federal grants.

Supplier Invoice Reports Updated to replace Deprecated Field: Several reports have been updated to remove deprecated field Supplier Category and replace it with an alternate field Supplier Category for Supplier. End users with saved filters will be impacted but a targeted email went out to this population on Monday, May 13.
Coming Soon: UNIV Remaining Encumbrances - Requisitions, POs, Spend Authorizations: A new report will soon be released to help end users identify transactions and their encumbrances that will roll forward add the end of the fiscal year. The new report is called "UNIV Remaining Encumbrances - Requisitions, POs, Spend Authorizations."
Project Sources and Uses Updates : The Report Project Sources and Uses has been updated and enhanced. Users with saved filters may need to use the "Manage My Saved Filters" task to update their filter to the new Time Period to prevent it from being overridden when using a saved filter.
As part of fiscal year-end planning, the annual supplier inactivation project will be transacted in Workday. There are 4,287 supplier candidates to be inactivated. These are suppliers with no invoices or purchase orders in the last thirteen (13) months. This analysis and review were performed by team members from Campus, Office of Sponsored Programs, and Wexner Medical Center. The last check run for Accounts Payable will occur on Thursday, June 27, 2024 , and all approvals for those invoices will need to be completed prior to 10:00 a.m. on that day.
In observance of the July 4th holiday, there will be no check run for the week of Monday, July 1 through Friday, July 5 . This means that approvals will also need to be completed by 10 a.m. on June 27 . Otherwise, they will be included in the July 11 check run.
As a part of fiscal year-end activities, subaward supplier contract encumbrances will be closed out for FY24 and re-opened in FY25.
An encumbrance will not roll-forward into FY25 if a subaward supplier contract has an "Amendment in Process" status. This issue was confirmed in testing. As a result, the Office of Sponsored Programs (OSP) is providing guidance for subaward supplier contract amendments as detailed in the full post .
The suppliers of leadership coaching services listed below will now have single dollar line hosted catalogs in Buckeye Buy. Previously these suppliers were in Marketplace Quotes. Ohio State customers will receive quotes via email, which should be used to enter the order through the Buckeye Buy catalog.
