  • Procurement Reporting Updates

    Supplier Contracts Prompt Added to Procurement Reporting: A "Supplier Contracts" prompt has been added to three reports to enable users to search by supplier contracts. The reports include "Find Supplier Invoice Summary - OSU," "Find Supplier Invoice Detail - OSU," and "Find Purchase Order Summary - OSU."

    Find "Requisition Summary - OSU" Prompt Update: An update to the prompt "Supplier" on the "Find Requisition Summary - OSU" report is scheduled to take place at end of day on Friday, February 14. There will be no visible changes to the prompt, but any report filters or scheduled reports that have a value saved in the "Suppliers" field will need to be re-saved once the update been completed.

    It is recommended you view and save your filters prior to this change so you can have a copy of what your filters were prior to the change. To see how to save a copy of saved filters go to Reporting Tips on the Business Processes and Reporting website.

  • Updated Information Technology Security Policy, includes critical incident response information

    OTDI’s Digital Security and Trust team has released an updated Information Technology (IT) Security Policy. The new policy outlines the IT security requirements for all information assets and systems managed by the university and guidelines for the anyone who use these systems. It also integrates guidance from the former Information Security Incident Response Management policy to provide users with steps for reporting, investigating, and notifying relevant parties in the event of a security incident

    In addition to replacing the previous version of Information Technology Security Policy, it also combines the guidance provided in the Information Security Incident Response Management policy, which was previously a separate policy.

    The policy also has been updated to stay current with the latest advancements in technology. Changes include:

    • Updates language regarding the university’s information security program.
    • Adds language about the university’s privacy program and disaster recovery program.
    • Incorporates information from the Information Security Incident Response Management policy outlining the university’s processes for responding to information security incidents.
    • Revises language throughout to improve clarity and accuracy and reorganizes information to improve readability and flow.
    • Updates the Definitions table, a reference tool that provides clear explanations for specific terms related to information security and technology.
    • Updates Resources and Contacts information.

    Integrating security guidelines with incident response procedures, has resulted in an updated policy that represents the university’s comprehensive approach to protecting university systems and data. You can access the updated Information Technology (IT) Security Policy on the Office of University Compliance and Integrity’s University Policies website.

  • Visit Ohio State’s AI site to find secure, approved AI tools

    New generative AI tools become available every day. However, not all AI tools prioritize user privacy and data security. Ohio State is proactively identifying tools that are reliable and secure for faculty, staff, and students to use.

    OTDI’s Digital Security and Trust team has reviewed AI tools and approved those that meet our security standards, which are listed on Ohio State’s AI.osu.edu site. The team also reviews AI features in existing tools to ensure they are safe to use with our data. DST also offers general security guidance on using AI and protecting Ohio State’s institutional data

    Faculty and staff should never enter institutional data into any tools that have not been approved, and should only use those for the level of data approved as listed in the Cloud Assessment Registry.  Students should use GenAI tools only with the explicit permission of each instructor, in the ways allowed by that instructor.

    Before trying AI tools for personal use, we recommend that you check privacy policies and understand how your data is handled. Some tools may store, analyze, or even share the information you enter without clear disclosure. Always be cautious about what you share, especially on platforms that lack clear security measures.

     

  • Planned Maintenance and Downtime for Student Apps. Feb. 8 and Feb. 9

    From 5 p.m. on Saturday, February 8 to 11 a.m. on Sunday, February 9, the following PeopleSoft Buckeye Link (Campus Solutions/Student Information System) services will be unavailable including:

    • Student Center functions accessed through Buckeye Link
    • Faculty Center
    • Grad Forms
    • Grad Recommendation
    • Curriculum
       

    The Ohio State App (mobile) will not be affected by the downtime.

    This change and other planned maintenance at Ohio State can be found on the System Status (ocio.osu.edu/status) page.

  • Changes to Adobe Creative Cloud and Microsoft Storage

    Effective today, changes have been made to the university’s Adobe Creative Cloud funding and purchasing process. Additionally, we’ve paused our implementation of Microsoft Storage limits, which were planned to go into effect this summer. Read on for more details.

    Adobe Creative Cloud

    The university has identified funding to pay for professional use licenses for all faculty, students, and staff who need this software for their teaching, learning, research or work. This funding will pay for licenses for the upcoming fiscal year (FY26) as well as reimburse departments for their costs for the current fiscal year.

    We ask that everyone continues to be thoughtful about who needs the full Adobe Creative Cloud suite vs. our free access to Adobe Express to be good stewards of our university resources. More information on accessing Adobe Express and ordering Adobe Creative Cloud is available for you.

    • Faculty, Students and Staff: To order Adobe Creative Cloud, please visit go.osu.edu/adobecc and log in with your Ohio State username and password to request your free license for professional/academic use. If you don’t have a professional reason for using Adobe Creative Cloud but would like it for personal use, it is still available for purchasing at a discounted per license rate via the same link.
    • Departments: No current action is needed for reimbursement; further details will be provided.

    Microsoft Storage Limits

    In response to your feedback, we have asked our team to pause the planned changes to Microsoft storage limits, which were initially set to take effect in June 2025.

    Pausing on the changes to Adobe and Microsoft storage limits allows us and other new university leaders to engage in discussions, better understand the issues, and collaborate on solutions with leaders, faculty, researchers, students and staff.
