Health System Position Control Enhancements

Starting in July 2022, Workday will use position restrictions to identify Full Time Equivalency (FTE). This change in process will further assist leadership at The Ohio State University Wexner Medical Center, to generate accurate Position Control reports for vacant positions without corresponding job requisitions.

In preparation for this enhancement to Workday, all options to select recruiting instructions in relation to job requisitions were removed April 14, 2022. Managers are no longer able to place an FTE Hold on a vacant position and this enhancement will be reflected in reporting starting in July.

Using position restriction this way will streamline the process for managers and recruiters, making the Health System hiring process more efficient. Reporting will be more accurate and will provide a better snapshot of the recruitment status and corresponding needs. Overall, this update will simplify the job of the Health System manager.

What this means for the Health System:

  • FTE will be maintained on all positions, whether filled or vacant.
  • All position FTEs that have gone through the approval steps will be reflected in reporting.
  • When a job requisition is created, there is no option to choose recruiting instructions.
  • Creation of a job requisition will also be a request to actively post a position, flowing to RRC Review for approval.
  • All job requisitions routed to recruiter(s) will be to actively post.
