Soft Launch of Enhanced Software Ordering; Storage Tools Now Available at Ohio State

Here’s a quick look at some helpful updates designed to make software purchasing and data storage simpler.

New Software Preapproval Process (SPP)

A new Software Preapproval Process (SPP) in Workday is currently in soft launch. After months of testing, this system change simplifies buying software that meets legal, security, and accessibility standards. It prompts users through the approval steps in Workday, helping avoid delays and making sure everything is reviewed properly. Pilot users have been particularly excited at having all the required reviews streamlined in one process that helps ensure crucial work isn’t interrupted by software ordering showstoppers. A note for Service Centers: The Review/Approve a Requisition for transition to a Purchase Order job aid (login required) has been revised with guidance pertaining to what to do with the SPP info and the loading of agreements in OnBase.

Ohio State Software Directory

In tandem with SPP is the Ohio State Software Directory. It helps buyers find software that’s already approved for specific use cases and under contract, so they can skip duplicate reviews and save time.

Ohio State Storage Directory

Complimenting SPP and the Software Directory, is the Ohio State Storage Directory, a new self-service tool for IT professionals, faculty, and researchers. It helps users explore data storage options based on their needs and ensures they meet Ohio State’s Institutional Data Policy (IDP) and retention requirements.
