Updates to Microsoft Policy Emails Improve Access to Ohio State Help Resources

On April 20, OTDI is making a change to the sender address of Microsoft-generated system messages that will ultimately make it easier for you to find the help resources you need. However, this change may affect any personal mailbox rules or workflows you’ve created that rely on specific Microsoft email addresses. 

Because of this change, inbox rules and automated workflows that rely on current Microsoft “from” addresses may stop working across Outlook and other Microsoft apps. The benefit is that we will now be able to customize system messages to point you to Ohio State-specific resources. 

If you use your Ohio State email regularly, you’ve probably seen messages like these—they come directly from Microsoft and are part of how the tools work. For example: 

  • Storage quota warnings (e.g., “Your mailbox is almost full”)  
  • File inactivity notifications  
  • Security alerts like “We noticed a new sign-in. Was this you?”  


On April 20, OTDI will begin sending customized versions of these notifications from a new Ohio State email address, no-reply@osu.edu. This allows us to: 

  • Provide more personalized, relevant information  
  • Include direct links to Ohio State help resources  
  • Provide better support for you when action is needed  
     

What This Means for You 


If you’ve set up inbox rules, filters, or automated workflows (such as Power Automate flows) that rely on the current Microsoft “from” addresses, those may stop working after this change. This change may impact rules and workflows that you have set not only in Outlook, but also in other Microsoft applications including SharePoint Online, OneDrive for Business, Office, Stream, Planner, Project, Viva Connections, Viva Glint, Viva Pulse, Viva Topics, Viva Amplify and Teams.  

You may also begin seeing messages in your inbox that were previously filtered into folders or blocked entirely. To restore workflows that may be impacted by this change after April 20, we recommend you: 

  • Review and update any inbox rules that filter Microsoft messages (for example, messages from SharePoint Online or storage quota alerts)  
  • Check any automated workflows that depend on sender email addresses  
  • Adjust filters as needed to ensure important messages continue to reach you  
     

At this time, changes cannot be made in advance. You’ll need to update your rules once the new messages begin arriving. 

This update ensures that when you receive an important notification, you’ll also have immediate access to the right Ohio State support and guidance without needing to search for it separately.
