Using BuckeyeLearn

General information BuckeyeLearn administrators should know:
  • Accessibility: All training in BuckeyeLearn, including training created in-house and training purchased from a third-party vendor, must be accessible to learners with disabilities, and administrators, not the BuckeyeLearn Support team, are responsible for ensuring that accessibility.
  • Audits: OU admins are required to participate in the audits to ensure that end users experience a seamless, consistent experience in BuckeyeLearn.
  • Availability: Availability defines the learners who can search for and request a learning object.
  • BuckeyeLearn Administrators and Support Team: Current BuckeyeLearn admins and support team members.
  • BuckeyeLearn Environments: BuckeyeLearn has three separate versions of the system - called environments - that are used for different purposes.
  • BuckeyeLearn Standards: The BuckeyeLearn Standards define what content will and will not be managed, define the requirements for content to be administered, and establish ownership of each learning object (LO) administered. The BuckeyeLearn Standards define the responsibilities of BuckeyeLearn administrators and define the support model in place for BuckeyeLearn.
  • Career Roadmap Job Codes: To reduce workload for administrators when using Career Roadmap job codes in a group, learning assignment, or reporting, BuckeyeLearn has implemented an automated parent-child structure to these job codes.
  • Communicating about Learning Assignments: Without adequate communication to learners about learning assignments, you and the BuckeyeLearn Support team may receive many questions from learners.
  • Course Catalog: The Course Catalog allows BuckeyeLearn administrators to access and manage their vendor's learning objects.
  • Course Console: The course console allows administrators edit and view information about a single learning object.
  • Course Ratings and Reviews: Some courses in BuckeyeLearn feature course ratings and reviews, allowing users who complete the training to provide a 1 to 5-star rating and feedback.
  • Default Communication Emails: BuckeyeLearn automatically sends emails when certain actions are taken in BuckeyeLearn.
  • Equivalents: When a user completes a training equivalent for the learning object, they are are marked as Completed (equivalent) for the learning object that is equivalent.
  • Learning Assignment Checklist: The checklist must be used to document any learning assignment for over 100 learners.
  • Learning Playlists Requirements and Standards: This document outlines requirements and standards that must be followed when using the Playlist functionality within BuckeyeLearn.
  • LinkedIn Learning: Learners can search for LinkedIn Learning courses in BuckeyeLearn and have them recorded to their BuckeyeLearn transcripts.
  • Mobile-Friendly Online Courses Requirements and Best Practices: Mobile-friendly online courses are those that display and function well on a smart phone or tablet and can be launched by a mobile web browser.
  • Online Course Requirements and Best Practices: An overview of best practices for creating online courses for BuckeyeLearn
  • Prerequisites: Prerequisites allow a specific learning object or objects to be required before a learner can take a different learning object.
  • Roles and Responsibilities: There are many roles in BuckeyeLearn, each with their own requirements, responsibilities, permissions, and constraints.
  • SCORM Requirements: SCORM version requirements for BuckeyeLearn online courses.
  • Subject Definitions: All training in BuckeyeLearn is categorized into groups based on content by subject.
  • Testing Training: Before training is loaded and made available in the BuckeyeLearn Live environment, it must be tested in the Pilot environment.
  • Third-Party Vendor Training: Training purchased or used from a third-party vendor must be tested by your area for both functionality with BuckeyeLearn and accessibility, and approved by the BuckeyeLearn Operations Committee.
  • Training Standards: All training in BuckeyeLearn must adhere to the training standards.
  • Transcript Archival Rules: Archival rules determine when a learning object is moved to the archived section of a learner’s transcript.
  • Types of Learning Objects: A learning object is an individual piece of training content. Each type of learning object has different pros and cons and may not be suitable for all types of training.
  • Web Services, Feeds, and Frequencies: This document describes the various web services and feeds that automatically run in BuckeyeLearn.

Training

Administrator Training

You must log in as an administrator to launch these training courses.

  • BuckeyeLearn Implementation OverviewThis course is intended for units who are interested in learning more about using BuckeyeLearn to deliver training to either their unit or across the university and Med Center.
  • BuckeyeLearn Administration Overview: This course is intended for individuals who have been designated as their unit’s Organizational Unit Administrator (OU admin) or BuckeyeLearn Liaison in BuckeyeLearn. While this course was designed for on-boarding OU admins and BuckeyeLearn Liaisons to BuckeyeLearn, the information in this training is helpful for all individuals who hold an administrator role in BuckeyeLearn.
  • Creating and Managing Instructor-Led TrainingThis course introduces new administrators to the instructor-led training functionality in BuckeyeLearn. While this  training is primarily intended for instructor-led training (ILT) administrators, it is also useful to learning and OU admins who create and manage instructor-led training.
  • Creating and Managing Groups in BuckeyeLearnThis course describes the groups functionality in BuckeyeLearn and is intended for Organizational Unit administrators (OU admins) in BuckeyeLearn. While only OU admins can create and manage groups, the information in this training may also be useful for learning administrators.
  • Creating and Managing Learning Assignments: This course describes the learning assignment functionality in BuckeyeLearn and is intended for Organizational Unit administrators (OU admins) and others who create learning assignments in BuckeyeLearn.
  • Creating and Managing Online Courses: This course describes creating, uploading, and managing the online course learning object in BuckeyeLearn and is intended for Organizational Unit administrators (OU admins) but is also useful to learning admins who manage online training in BuckeyeLearn
  • Reversioning: This course describes the reversioning process for learning objects in BuckeyeLearn. This course is primarily intended for OU admins, though it will be useful for other administrators who have special permissions to reversion learning objects. Training, including this course, is required before OU admins may request the permissions required to reversion learning objects.
Learner Training

Introduction to BuckeyeLearn: An introduction to BuckeyeLearn that covers: logging into BuckeyeLearn; finding and registering for training; viewing your training; and taking and completing training

Manager Training

Manager's Introduction to BuckeyeLearn: Topics include: reviewing employee transcripts, assigning training, and reporting on employee training

 

Security

Restricted (S4) Data

No restricted (S4) data may be included in BuckeyeLearn training. If you have any questions about the classification of your data, use the IDP Calculator or review the Institutional Data Policy.

Reset Administrative Password
