A learning assignment in BuckeyeLearn is when administrators use the learning assignment tool to place training directly on the transcript of one or more learners.
- Standard learning assignments are run once for a defined group of learners, such as a group of employees who need to take a new online course.
- Dynamic learning assignments run on an ongoing basis as learners meet defined criteria, such as when learners leave or enter a certain job in your area. Dynamic learning assignments often use groups.
For learning assignments over 100 learners, you must document your process using the learning assignment checklist.
High-Risk Activity
Learning assignments are considered a high-risk activity in BuckeyeLearn due to the potential for problems to affect large numbers of learners. You may not have access to create learning assignments without additional training or supervision from the BuckeyeLearn Support team.
High-Risk Scenario Example One
What Happened: You are asked by management to assign annual safety training to all learners in a department, even if the learners have already completed the training. You use the learning assignment tool to assign the training to all learners in the department.
Learners who completed the training recently email you to ask why they must complete safety training again in such a short time. Learners who completed the training last year email you to ask why they must complete it again.
What Should Have Happened: You are asked by management to assign annual safety training to all learners in a department, even if the learners have already completed the training.
You prepare a report showing who has already completed the training in the department and when they completed it. You recommend that learners who have completed the training in the last three months be excluded from the assignment and management agrees.
You review and approve the communication that will go out learners on the same day the training is assigned.
After that, you assign training to only the learners in the department who have not completed the annual safety training in the last three months.
High-Risk Scenario Example Two
What Happened: You are contacted by the security liaison for your area to assign security awareness training to learners in five departments. You use the learning assignment tool to assign security awareness training to all learners in the five departments.
The next day, you get an email from a student employee from one of the departments who doesn’t know why they were assigned the security awareness training. When you contact the security liaison, they say that students should have been excluded.
You urgently contact the BuckeyeLearn Support team to assist you with removing the training that was incorrectly assigned to student employees.
What Should Have Happened: You are contacted by the security liaison for your area to assign security awareness training to learners in five departments.
You prepare a report showing all learners in the five departments and share it with the security liaison. After reviewing the report, the security liaison tells you that students can be excluded from the assignment. You change your report to exclude students, then share it again with the security liaison.
After they verify that the report is correct, you use the learning assignment tool to assign security awareness training to all learners in the five departments, except for students.
