Roles

There are many roles in BuckeyeLearn, each with their own requirements, responsibilities, permissions, and constraints. Expand each accordion to review the BuckeyeLearn roles and their responsibilities.

Superadministrator

The superadministrator role is limited to the BuckeyeLearn Support team. Superadministrators

  • Configure the BuckeyeLearn software
  • Provide troubleshooting and general assistance to OU admins and learners
  • Guide areas’ BuckeyeLearn implementations
  • Communicate with Cornerstone, the BuckeyeLearn vendor, about troubleshooting, maintenance, and updates
  • Share enterprise-wide reports
  • Configure and administer requested administrator and reporting roles
  • Perform certain back-end functions that affect large groups of learners’ transcripts

Superadministrators have no or limited constraints on their permissions.

An administrator account is required for this role.
 

Organizational Unit (OU) Administrator

The Organizational Unit - or OU - admin is the main BuckeyeLearn contact for an area, both during and after implementation. There is only one OU admin per area; the BuckeyeLearn Support team acts as a backup for each OU admin during vacations or other time out of the office.

Areas with limited training offerings or only instructor-led training may not require an OU admin for their area.

In general, OU admins are constrained to their subdivision, with certain permissions being constrained to their division.

  • Administer BuckeyeLearn for your area after implementation
  • Manage your area’s training offerings
  • Work with learners
  • Create standard and dynamic learning assignments
  • Request administrator roles
  • Train your area's administrators
  • Manage report sharing requests
  • Create reports
  • Create groups
  • Participate in quarterly audits

OU admins may also request a permission that allows them to upload online courses after successfully completing additional training.

BuckeyeLearn Liaison

The BuckeyeLearn Liaison is the “backup” support for areas that have an OU administrator, or is the main BuckeyeLearn contact for areas that do not have an Organizational Unit (OU) Administrator. Whether an area has a BuckeyeLearn Liaison is dependent upon the area’s size and usage of BuckeyeLearn. There can be multiple BuckeyeLearn Liaisons per area; the BuckeyeLearn Support team acts as a backup for Liaisons during vacations or other time out of the office.

In general, BuckeyeLearn Liaisons are constrained to their subdivision, with certain permissions being constrained to their division.

  • Create standard learning assignments
  • Request administrator roles
  • Train your area's administrators

An administrator account is required for this role.
 

Learning Administrator

The learning administrator role must be requested for users by the OU admin. 

Learning admins

  • Manage all types of training for their area
  • Manage their area’s training catalog

Learning admins are constrained to their subdivision.

There are additional permissions that OU admins may request for learning admins, depending on the business need. Contact the BuckeyeLearn Support team for additional information.

Instructor-Led Training (ILT) Administrator

The ILT administrator role must be requested for users by the OU admin. ILT admins enter and manage instructor-led training for an area, including

  • Printing rosters
  • Adding walk-in learners to a roster
  • Completing and submitting rosters
  • ILT admins are constrained to vendors.

There are several additional permissions that OU admins may request for ILT admins, depending on the business need. Contact the BuckeyeLearn Support team for additional information.

An administrator account is required for this role.
 

Instructor

The instructor role is automatically assigned to anyone listed as an instructor for a training vendor. Instructors can

  • View their courses
  • Print rosters
  • Complete, but not submit, rosters

Instructors are constrained to vendors. Instructors may be associated with multiple vendors.

This role is assigned to a user’s learner account.

Manager

The manager role is automatically assigned to anyone with direct reports in the human resources system. Managers can assign training to and view training reports for their employees.

This role is assigned to a user’s learner account.
