Spend category hierarchies (level 5) will be updated to create logical groupings of expenses. These groupings will help provide a level of visibility that is inbetween the high-level Supplies and Services view, and the granular spend category level. Below are a few examples of logical expense groupings the changes will create.
Computer, Audiovisual, and Copying Services Maintenance and Repair Services Financial, Accounting, and Legal Services HVAC, Electrical and Electronic Components
Once the hierarchy changes are made, the "Sources and Uses - Variance Analysis" report will be updated to bring in the level 5 spend category hierarchies. This will allow you to expand supplies and services and view spend associated with the updated hierarchies. You will still have the option to drill/expand to view at the individual spend category level if you have the need.
Report Enhancement: Find Journal Lines – OSU - Posted Journals by Amount Type
The "Find Journal Lines – OSU - Posted Journals by Amount Type" report has been enhanced with an additional field for "Object Class" in the output of the report.
Grant - FDM Values Report Enhancements
The output of the report "Grant - FDM Values" has been enhanced to include four additional columns. Those columns include the Award Line From Date, Award Line To Date, Prime Sponsor Type, and Sponsor Type.
Supplier Contracts Prompt Added to Procurement Reporting
A "Supplier Contracts" prompt has been added to three reports to enable users to search by supplier contracts. The reports include "Find Supplier Invoice Summary - OSU," "Find Supplier Invoice Detail - OSU," and "Find Purchase Order Summary - OSU."
Find "Requisition Summary - OSU" Prompt Update
An update to the prompt "Supplier" on the "Find Requisition Summary - OSU" report is scheduled to take place at end of day on Friday, February 14. See the full post for more details.
A new report group, Financial Transactions Awaiting Action, has been released. This report includes three different reports that provide a list and the status of journal, accounting adjustment, and asset transactions that are awaiting an approval or to-do step. To run this report group, users can go to the "Schedule a Report" task and search for "Financial Transactions Awaiting Action." Once the prompts are entered and the report group runs, all reports will be available in one Excel spreadsheet.
The Time Tracking Funding Overrides report has been updated so users can now search for worktag overrides for positions they own. This can be run each pay period to ensure biweekly workers have not erroneously entered worktag overrides on their timesheets. Payroll accounting adjustments should be processed to correct erroneous overrides.
Historically the report returned all workers with time entered but a new prompt titled "Only Include Time Blocks with Funding Overrides" will narrow results down to return only workers with worktag overrides.
As a reminder, the best option is to run the report by the "Organizations by Type" prompt to capture all the positions owned by your college or cost center.
The Tableau report "Flexible Payroll Expense Data" has been enhanced with the addition of a new tab titled "Flexible Payroll Actuals- Annual Trend." In this tab users can compare payroll spend data by fiscal year.
The Tableau report "Delegation History - OSU" has been updated with the enhancements described below.
A new "Stopped Date and Time" field has been added to the report. When the delegation is stopped for any reason before it's expected end date, the stopped date and time will now display in a new column. A new filter "For All Business Processes" has been added to the report. Additionally, the naming of two fields has been changed. "Allowed Action" has been changed to "Start on My Behalf." "Specified Business Processes" has been changed to "Approval on Behalf of Specified Business Processes." A clean-up has been done on the "Delegation Details" and "All Delegation History" to no longer display rows denoting when a worker is on leave and returns from leave. This reduces some unnecessary noise in the data.
Business Process Approval Times – Supplier Invoice Request Reporting Enhancements:
Enhancements have been added to the output of both the "Business Process Approval Times – Supplier Invoice Request (SIR) Detail" and the "Business Process Approval Times – Supplier Invoice Request Summary" reports. The enhancements include two new columns on the output of each report, one to display the approval time for Business Operations Center Leads and one to display the approval time for Grants Operations Center Leads. These additions are due to the change in workflow on Supplier Invoice Requests where they now route to Service Center Leads on the SIR rather than routing for approval on the Supplier Invoice.
The Spend Report Exceptions Dashboard will be retired on Friday, December 29 . Please utilize the "Exceptions Dashboard" as it has the latest in exceptions reporting available. Alternatively, the "Schedule A Report" task can be used to run the "Exceptions Report Group." This allows users to run three exceptions reports with one set of prompts and all reports will be downloaded into one Excel file.
Miscellaneous Payment Enhancements:
"Find Miscellaneous Payment" reports have been updated with additional prompts to allow users to see information for their specific college or unit cost centers that must be recorded on OSP worktags as part of the cash advance for human subjects process. To view cash advances for human subjects on OSP grants associated with your specific college or unit, enter the Requester’s cost center or cost center hierarchy as of the date the Miscellaneous Payment was submitted. See further information in the Reporting Tip shared via the Business and Finance site.
The dashboard "Spend Report Exceptions" will be decommissioned on Friday, December 29 . End users should utilize the new "Exceptions Dashboard" for viewing policy exceptions for requisitions, expense reports, and supplier invoice requests. A report group could also be scheduled for viewing exceptions. To run the report group, use the Schedule a Report task and enter "Exceptions Report Group" in the report name. The report group can be run in real time or scheduled for a later or reoccurring date.
Prompt Enhancements to Business Process Approval Times - Summary Suite:
Several prompts have been added to all reports in the "Business Process Approval Times - Summary" suite. The Grant Hierarchies field has been added to allow searching for transactions specifc to the Office of Sponsored Programs (OSP) and an Exclude Worktags field has been added to allow for exclusion of OSP transactions (by excluding FD520), as well as other worktag types. Additionally, a new Cost Center prompt as well a Cost Center Hierarchies prompt have been added to allow end users to search by any cost center and/or hierarchy level. Please note, for split-funded transactions, only one cost center and corresponding CCH are pulled from the transaction. The line distribution for the highest amount is the line from which the cost center and cost center hierarchy are drawn.
HR for Finance - Compensation Changes Enhancements:
New fields have been added to the output of the "HR for Finance - Compensation Changes" report (excludes changes from Hires, Add Job and Change Job). These fields include Current Base Pay Annualized and Proposed Base Pay Annualized. The enhancements are to show annual pay in a consistent manner for both exempt and non-exempt employees.
Starting the week of April 5, 2022, we will be working behind the scenes to reload the core Journal Line dataset from Workday into the Reporting and Analytics Environment (RAE), starting with January 2021 data and finishing through current day. The reload process is expected to be complete no later than April 15, 2022. We will load the data incrementally in monthly buckets due to the size of the files. Thus, during this 10-day period, updates will appear as the load steps complete.
There will be no system outage or downtime due to this work. Users, reports, and dashboards should not be affected. Updated and complete data will flow into your existing queries without any changes on your part. Once the reload is complete, we will send out a follow up notification.
