Standard Workstations

OTDI has designed computer standards to meet the needs of our Managed IT Services (MITS) partners. These options are cost-effective for the university, easily supported and allow the majority of university employees to successfully and efficiently perform their daily job duties.

We update the standards below at least annually. We consider exceptions on a case-by-case basis (e.g. control systems for expensive instruments that cannot be upgraded). The following are examples of standard workstation configurations available to OTDI Desktop Support covered areas, actual models may vary. These specifications are for devices purchased after November 1, 2023.

Included in Standard Package Cost

The cost of a standard MITS package includes:

  • Laptop or Desktop Computer
  • External Monitors (up to 2)
  • Keyboard and Mouse
  • Laptop Docking Station
  • External Webcam (for Desktops)
  • Four years of warranty repair/replacement on the computer and associated peripherals

The following items are available at no additional charge as part of the standard package, by request:

  • Standard Cables and Input/Output Adapters or Dongles
  • External DVD Drive
  • External Hard Drives
  • External Speakers

All MITS partners are also provided one Skype device each which is included with the cost of the standard workstation package. Options include:

  • 1-Ear Headset
  • 2-Ear Headset
  • USB Handset
  • External Mic/Speaker "Puck" or IP Phone are also available for some use cases

Additional Expenses

OTDI Managed IT Services supports one workstation and setup per computing package. Requests for additional docks, peripherals and monitors for a secondary work location (such as a home office) must be fulfilled using the partner's unit funds.

Other items paid for directly by the unit include:

  • Specialized or more expensive versions of standard peripherals
  • Printers and all printing-associated costs
  • Software and license renewals (if not already paid for by University Site-Licensed Software)
  • Cloud hosting and online subscription costs
  • AV-related items, including digital signage, projectors, TVs

Device End of Life and End of Support Guideline

OTDI’s standard support model is to refresh the devices in our environment every 4 years to align with the end of the device warranty. There are reasons, however, that a device may fall outside of the refresh policy. When a device is older than 4 years, it is subject to the risk of falling into an End of Life scenario.  

Our recommendation is that devices within our environment need to be replaced, retired, or transferred out of OTDI’s responsibility after 6 years for computers, and 5 years for iPads (subject to change based on device-specific and supportable software updates). This would be considered the End of Support date and the device would be registered as End of Life. When a device approaches an end-of-life scenario, there are three actions you can take. Users and unit leadership will receive direct emails if a device is approaching end of life. Please contact the IT Service Desk. If the end of life/end of support device is not returned, there will be a 3-month grace period and then OTDI will disable access.
 

  1. Return and Replace: Return the end-of-life device to OTDI and receive a replacement device. The replacement should be comparable to what was returned using the latest standards. This option can be used if the end-of-life device is still needed and your department approves the purchase. To request a replacement, you can put in a workstation request through Self Service.   2. Retire: Return the end-of-life device to OTDI and do not receive a replacement device. This option can be used if the end-of-life device is a secondary device and your primary device is still supported. To return a device, you can put in a request for pickup through Self Service.   3. Transfer Risk: Submit an exception request: In limited cases, there may be some specialized research machines that require an exception. To submit a request for an exception, you can submit a ticket to the IT Service Desk.
