Site-Licensed Software

Ohio State provides site-licensed software to help faculty, staff, researchers, and students work smarter, teach effectively and explore new ideas. All software titles are available in the Ohio State Software Directory. You can limit titles by choosing the "Site Licensed Software" check box under "Software type" on the left side of the screen. 

Software Request Instructions

Software is distributed via several channels (see the individual software listings below for specific information on each), but in most cases you will need to place an order through the IT Service Desk to obtain the software. Adobe Software

All Ohio State students, faculty, and staff get free Adobe Express. Faculty and staff also receive Acrobat Pro. Creative Cloud is free for professional use and discounted licenses are available at for personal use).

Microsoft 365

All faculty, staff and students have automatic free access.

How to Purchase or Provision Software Licenses

If you are ordering software that requires a license purchase, you will need an approved Workday requisition number to complete the order. This can be completed in Buckeye Buy (Learn how to create a Buckeye Buy Request). View the software request form to see a full list of software licenses available to purchase. 

To purchase or provision software licenses: 

  1. Visit the software request form in ServiceNow and log in.
  2. Select the software name in the dropdown.
  3. Follow any software-specific instructions .
  • If ordering Adobe Creative Cloud, select "Professional/Academic Use" or "Personal Use" (If “Personal Use” is selected, a credit card is required for payment).
  • If ordering Overleaf, enter the Workday requisition PO number. See below for Workday requisition instructions.
  1. Read and accept the Terms and Conditions.
  2. Click "Order Now" and then click "Checkout". 

Note: As new software becomes available, additional options and instructions may appear in the form. Always follow the form’s instructions for the selected product. 

How to Submit a Workday Requisition using BuckeyeBuy

If you are ordering software that requires a license purchase, you will need an approved Workday requisition number to complete the order in BuckeyeBuy. View the software request form to see a full list of software licenses available to purchase. 

Below are simplified instructions for submitting a Workday requisition for BuckeyeBuy sotware orders. Log in to the the Administrative Resource Center for full instructions for creating a Buckeye Buy Request. The basic steps for creating a Workday requisiton for software are as follows:

  1. Login to Workday and launch the “create requisition” task
  2. Set the type to “Buckeye Buy Request"
  3. Click “OK”
  4. Click “Search Catalog"
  5. Type <software title> in the search bar and add to cart. NOTE: If needed, set the quantity greater than one.  Do NOT go back and add multiple entries to the cart.
  6. Click the cart and click the checkout button
  7. Click submit
How to Order Site-Licensed Software in ServiceNow

To order available software provided by OTDI (Site-Licensed Software):

  1. Go to the IT Service Desk and select the Sign in to your account button, then select Log In.
  2. Select Order Services (marked with a shopping cart icon).
  3. Select Software Services from the list of categories.
  4. Select the Site Licensed Software Request option.
  5. Complete the Site Licensed Software Request Form, including choosing an item from the available software options. In some cases, you may be required to agree to terms and conditions for the selected product.

    If you are ordering more than one license, change Quantity in the box at the upper right.

  6. Click Check Out.
  7. Review your shopping cart and, if correct, click Submit Order at the lower right.

 

Note: Access to download software from the IT Service Desk is restricted to current Ohio State faculty, staff and students. The right to distribution of site-licensed software is limited to OTDI. Individuals are strictly prohibited from loaning such software or making a copy for anyone else.

Site License Software Coordinators

Registered Site License Software Coordinators can request certain additional software products for departmental distribution. An SLS Coordinator is authorized through their department chair or unit director to partner with OCIO to distribute site licensed software to end users within their department or unit. They must be a regular faculty or staff employee.

To request to become a coordinator, follow these steps:

  1. Go to the IT Service Desk and select the Sign in to your account button, then select Log In.
  2. Select Order Services (marked with a shopping cart icon).
  3. Select Software Services from the list of categories.
  4. Select the Site Licensed Software - Coordinator Request option.
  5. Complete the Site Licensed Software - Coordinator Request form.
  6. Click Check Out.
  7. Review your shopping cart and, if correct, click Submit Order at the lower right.
