Approved Institutional Definitions

The following definitions have been created, reviewed, and approved by faculty and/or staff across the university and Ohio State Wexner Medical Center in coordination with the Data Governance team. University and Wexner Medical Center employees are encouraged to review these definitions and keep them in mind when discussing and analyzing data.

Advancement Definitions

Current Use Gifts

Gifts that are available for immediate use and intended to provide short-term support for the university subject to the criteria agreed to by the donor and the university.

Endowment

Funds received from donors or other sources that are permanently restricted by the donor to be invested in perpetuity with annual distributions used as specified by the donor.

New Fundraising Activity

An Office of Advancement counting methodology capturing all new charitable fundraising results for a given time range, consisting of new outright contributions, new private grants, and newly documented pledges and planned gifts. It excludes payments on pledges and planned gifts.

Philanthropic Receipts

An Office of Advancement counting methodology capturing all charitable payments for a given time range, consisting of new outright contributions, pledged payments, planned gift payments, and new private grants.

 

College Profiles Definitions

Admit Rate

Percentage of completed applicants who are offered admission. Calculated by dividing the number of admitted students by the number of completed applications.

Admitted Students

Applicants who have been offered admission to Ohio State.

Completed Applications

Students who have applied and fulfilled the requirements to be considered for admission.

First Year Retention Rate

The percentage of students from the summer/autumn cohort of new first year students who are enrolled at Ohio State, regardless of campus or college, in the subsequent Autumn term.

Four Year Graduation Rate

The percentage of students from the summer/autumn cohort of new first year students who earned a baccalaureate degree at Ohio State before Autumn of the fifth year after their cohort term.

International Student

A student who is not a U.S. citizen, permanent resident, refugee, or a person who has been granted asylum.

New First Year Students

Degree-seeking first year students without prior postsecondary experience who are new to Ohio State.

Non-Ohio Domestic Student

A United States resident, not from Ohio.

Ohio Resident

A student who is a legal resident of Ohio.

Six Year Graduation Rate

The percentage of students from the summer/autumn cohort of new first year students who earned a baccalaureate degree at Ohio State before Autumn of the seventh year after their cohort term.

Undergraduate Class Size

Number of students in an undergraduate class section.

Yield Rate

Percentage of admitted students who enrolled. Calculated by dividing the number of enrolled students by the number of admitted students.

 

Person Definitions

Legal Sex

For required reporting, legal sex is defined as the sex indicated on government documents (e.g., state photo identification). Legal sex may differ from sex assigned at birth, gender identity and/or gender expression.

Pronouns

Pronouns are used to refer to individuals in the third person. Examples include she/her, he/him, ze/zir, they/them. Pronouns are chosen by an individual and may differ from their legal sex.

 

Student-Related Definitions 

Campus of Record

The campus where a student is taking the majority of their course hours at the term’s enrollment census date.

Campus-change Student

A degree-seeking student who has been enrolled on more than one campus of record.

Degree-Seeking Student 

A student who is taking courses for credit and is pursuing a degree/certificate.

Full-Time Student

For an undergraduate, full-time enrollment is 12 credit hours per term. A graduate/professional student must typically take 8 credit hours per semester to be full-time.

Usage note: post-candidacy dissertation students are considered full-time with 3 credit hours.

Graduate Student 

A student who holds at least a bachelor's degree or above and is taking courses at the post-baccalaureate level. These students may or may not be pursuing graduate degree(s) or program(s).

Half-Time Student

An undergraduate student enrolled in 6-8.99 hours and graduate/professional student enrolled in 4-5.99 hours.

Less Than Half-Time Student

An undergraduate student enrolled in 0 to 5.99 hours and graduate/professional student enrolled in 0 to 3.99 hours.

Non-Credit Learner 

An individual pursuing a learning opportunity for personal enrichment or to enhance their professional skills and knowledge but does not include coursework bearing academic credit.

New First-Year Student

A student pursuing an undergraduate degree for the first time after high school completion.

New First-Year Student – Certificate

A student pursuing an undergraduate certificate for the first time after high school completion.

Non-Degree Student 

A student who is auditing or taking credit-bearing courses but is not pursuing a degree(s) or program(s).

Part-Time Student

A student taking fewer credits than full-time.

Professional Student 

A student who is pursuing a Doctor of Dental Surgery (DDS), Juris Doctor (JD), Doctor of Medicine (MD), Doctor of Optometry (OD), Doctor of Pharmacy (PharmD), or Doctor of Veterinary Medicine (DVM).

Rank 1 - 4

Rank 1 identifies any undergraduate student who has earned fewer than 30 hours of credit completed and recorded by the university.

Three-Quarter Time Student

An undergraduate student enrolled in 9-11.99 hours and graduate/professional student enrolled in 6-7.99 hours.

Transfer Student

A degree-seeking student who is attending Ohio State after previously attending another institution at the post-secondary level.

Transfer Student – Certificate

A student who has prior postsecondary experience attending any institution that enrolls at Ohio State pursuing a standalone certificate.

Undergraduate Student 

A student who holds at least a high school degree or equivalent and is taking courses at the baccalaureate level. These students may or may not be pursuing undergraduate degree(s) or program(s).
