Data Domains

Data is organized into domains to provide a common structure in order to clearly define boundaries, interdependencies and stewardship areas of responsibility.

Academic Learning

Data pertaining to course design and learning activities in academic courses in the Learning Management System (LMS).

Acadermic Learning Secondary Data Domains

  • Learning Engagement/Participation - Learner activity as evidenced by logins, graded and non-graded activities, page views, and file activity.
  • Learning Outcome - Learner activity as evidenced by Carmen course outcomes and Carmen module completion.  
  • Course Assessments/Student Performance/Grades - Learner activity as evidenced by graded activities.
  • Carmen Course Design Elements/Course Structure - Data describing specific design and structural elements of an LMS course (e.g., pages, announcements, quiz questions, modules), LMS administrative items related to subaccounts and terms, and enrollments.

Finance and Supply Chain

Comprises data on Ohio State's budget, financial operations, capital funding needs and investments.

Finance and Supply Chain Secondary Data Domains

  • AP and Payment Data - Comprises data on Ohio State's budget, financial operations, capital funding needs and investments.
  • Asset Management - Information relating to the tracking of capital assets, maintaining a permanent and detailed record of all capital assets owned by the university and managing an accurate system that meets the federal government's requirements and inventory audits for all capital assets. Includes information on the aquisition, depreciation, and disposal of capital equipment. 
  • Banking and Settlement - Information on the account balances of university bank accounts and reconciliation.
  • Construction Project Management - Information related to the management of construction projects, including planning, scheduling, materials management, resource procurement, codes and standards, construction funding, personnel management and labor unions.
  • Contract libraries - Data regarding  contract creation, execution, and analysis to maximize operational and financial performance for the purchasing of goods and services.
  • Customer Accounts - Records related to customer information, invoices, billing organization and processing organization information, customer credit memos and related balances due from customers.
  • Debt Management - Information related to debt funding of university capital projects, including all health system projects.
  • Endowment Accounting and Investments - Information related to the accounting and financial reporting functions for the Long-Term Investment Pool which includes gifted endowments (both university and foundation) and various long-term operating funds.
  • Financial Accounting / General Ledger - Information related to accounting that ensures that university procedures adhere to Generally Accepted Accounting Principles. It includes the General Ledger and related financial structure components.
  • Gift Amounts - Information related to donors and gifts resulting from development activities.
  • Grants Management - Information related to the external funding of research activities including sponsor and award information resulting from proposals.
  • Master data tables: Items, Prices, Vendors, Locations - This data domain encompasses vital details such as price records, vendor information,  locations, and more.
  • Planning and Forecasting - Financial information for budgeting and planning purposes to drive strategic decisions.
  • PO - Detailed transactional record-keeping data including quantity, pricing and payments term for items purchased through purchasing contracts and purchase orders.
  • Spend, including categories and UNSPSC - Information on Ohio State's financial expenditures, including budget allocation, cost optimization, and financial performance.

 

Human Resources

The Human Resources domain captures data from multiple sources that are needed to support our employees, affiliates, departments and compliance. This information includes but is not limited to job and hiring records, personal demographics and contact information, compensation and classification, labor distribution, time and labor, and total rewards. 

Human Resources Secondary Data Domains

  • Benefits - Information on total rewards packages provided to employees in addition to their base salaries and wages.
  • Employee - Data elements that are employee specific, for example contact information. 
  • Employee and Labor Relations - Information related to employee relations, and labor policies and practices within Ohio State.

  • Job, Position, Compensation - Information related to jobs and positions and the employees that hold them such as job title/classification, salary, FTE, status, etc. 
  • Professional Development Learning - Information related to employee learning of faculty and staff, including management and leadership programs, DEI training, development training, compliance training, technical training, etc. 
  • Recruiting - Information related to the talent acquisition process and applicants.
  • Talent - Records related to employee skills/competencies, performance evaluations, development plans and succession planning.

Person

Data about an Ohio State-affiliated individual that does not change based on employment, education, or affiliation at the University.

Person Secondary Data Domains

  • OSU Identity - Information about an individual's relationship with the university.  This relationship is used to identify appropriate access to University systems, relevant communication to the individual, and maintain confidentiality of information.
  • Delegation Audit - Focuses on data related to the delegation of authority and access rights within Ohio State's Workday environment.

 

Physical Space

Facilities data capture information that helps ensure the functionality, comfort, and efficiency of a built environment as well as the safety of the UR community and physical spaces. These data support business processes such as space and equipment management, physical plant operations, mail services, transportation and parking operations, public and environmental safety, and grounds keeping and maintenance.

Physical Space Secondary Data Domains

  • Building automation data/building sensor data - Information on the buildings owner or leased by the university and the spaces within.

  • Facility Condition Information - Data related to the condition and maintenance of physical facilities, offering insights into infrastructure management and asset maintenance decisions.

  • Geographic Data - Data about spatial data, location and related data.

  • Hazardous Materials - Information on the storage, handling, and compliance of hazardous substances within facilities, supporting safety protocols and regulatory adherence.

  • Infrastructure - Infrastructure data related to physical spaces.

  • Maintainable Assets - Information about assets within an organization that require regular maintenance and upkeep, ensuring efficient asset management and longevity.

  • Networks - Information on IT networks supporting university spaces.

  • Physical Area - Information on spaces other than buildings.

  • Security - The information resulting from building access systems.

  • Space Data - Information on the buildings, floors and spaces owned and rented by Ohio State.
