On Thursday, June 9, from 12-12:45 p.m., join a virtual session focused on improving competencies around Workday reporting. This session will focus on the OAA - Academics report and ways to use that report to answer common business questions in academics. Workday has two major releases of enhancements and new functionality annually, and the next release is March 12. This update includes a new search feature on the external careers site that allows a split view so applicants can view job details without leaving the search results page.
While this will primarily impact our external job applicants, the HR community needs to be aware of the changes should they receive questions.
Changes include:
New look and feel of the external career site starting March 12. Workday now appends the search filter/keywords to the end of the URL allowing for a direct link to filtered search pages, providing HR Recruiters with the ability to directly advertise specific filtered positions for their area(s). The page will retain the search criteria after clicking into a posting providing a split view, whereas before, the applicant had to reenter the search upon returning to the search page.
Data Stewards, security contacts, and administrative system contacts will be receiving an email from Digital Security and Trust – Identity and Access Security Operations with information and instructions on how to verify their area’s users for the coming year for specific Ohio State administrative systems. The system list includes Workday Financials, Human Resources, Medical Center Financials, Workday All Custom Reports, and the Student Information System.
Your attention regarding this mandated annual activity is very important. The email will be sent during the week of Monday, May 5, 2025 , with a requested deadline to confirm area users by Tuesday, June 3, 2025 .
The relocation process has been built into Workday and the HR website has been updated to provide an enhanced experience for new employees and hiring managers. The most recent update includes enabling employees to submit their reimbursements directly in Workday, which builds on additional improvements to incorporate the entire relocation process in Workday. This change is reflected on the HR website , as well as the Relocation Policy, 2.30. Job aids, process information, policy links, relocation resources and contact information is also available on the website.
Beginning on Friday, May 24 , delegation will be enabled on several Workday business processes. Prior to this change, delegation was only enabled on time tracking and financial business processes. These changes will make the functionality available to human resources business processes.
If you have a step in the process, you will be able to use the "Request Delegation" task to temporarily delegate your work to an appropriate individual because you will be out of the office or otherwise unavailable to complete or approve transactions in Workday. There are several ways to leverage Workday as part of the hiring process when you are building your team. Recent updates to the campus job posting process removed duplications, increased transparency and shortened the time for posting positions. Review the changes, which include attaching a new Campus Position Hiring Request Form in Workday and integrating financial review into the Workday process. OTDI’s Enterprise Business Solutions (EBS) team has made a few updates to the academic unit structure where academic appointments are maintained in Workday. The naming convention has been updated for 55 existing Academic Units, such as “Medicine, College of” to “College of Medicine” and added 53 new academic units, such as university centers and institutes.
Colleges and units may now add academic appointments as appropriate to the new academic units for their faculty in Workday. Faculty will be able to see these new academic appointments in their Workday profile as well as on Find People once the colleges and units make the changes.
This data is maintained and updated by the colleges and units as decisions are locally managed. A list of the changes will be emailed to the HR Business Partners. In addition, you will see changes to the prompts in the “OAA - Academic Appointments” report in Workday; please be mindful during your next report run.
