Bookings

Simplify customer scheduling for your area or department.

Microsoft Bookings provides your customers the ability to view your calendar and schedule appointments online with your department or organization based upon your availability. The customer sees the services you have available, your schedule and what times are left available, chooses who they want to book with and confirms the booking. The program automatically sends them a confirmation email with a downloadable calendar appointment. You can also set up reminder emails to send in any duration before the appointment so that your customer doesn’t forget. On your end, it’s easy to make any adjustments necessary, if needed.

 

Use of Microsoft 365 Services Note

Access

Microsoft Bookings is available to all faculty, staff and students. It is not available to guests or employees of the Wexner Medical Center. 

Please note: Wexner Medical Center employees are not eligible for any OTDI Microsoft 365 services; however, they can be entered as a customer as part of the core Bookings contacts.

How to Log In

To get started, sign into Microsoft 365 with your Ohio State credentials, open Bookings from the app launcher and then click the "Get it now" button. You’ll need to provide a bit of information about your business and the services you want your customers to book. After that, just click the "Save and publish" button in the booking page tab to publish your scheduling web page. Your customers will now be able to start booking appointments with your business.

Adding Staff as either Administrator or Viewers

You can add the Bookings calendar to an individual user’s email client. You can allow anyone within the Ohio State Microsoft 365 environment to have access to a Bookings calendar by making them an Administrator from within Bookings. Then you can add the Bookings calendar directly to their BuckeyeMail mailbox. Please follow the steps:

  • You will have to utilize the full Bookings email address, all being with @buckeyemail.osu.edu. You can obtain this URL going to the "Bookings page" section and then look at the "share your page". There you can copy the URL and copy the XXXX@buckeyemail.osu.edu.
  • Follow the next steps to add the calendar to their BuckeyeMail account.
    • Outlook Client - Follow the steps to open someone's exchange calendar and then drop open the Address Book menu and select “All Bookings”.
    • Outlook Web App - Follow the instructions.
    • Administrator will see the details of the calendar all others will just see free/busy.
  • Staff can add both students and employees as staff.
    • Name.#@osu.edu
    • Name.#@buckeyemail.osu.edu
  • Students can only add other students.
    • Name.#@buckeyemail.osu.edu

Troubleshooting

Canceling Appointments

You must have an existing Administrator of the Bookings calendar to cancel any appointment. The customer can use the link to cancel, but staff members that need to cancel must have an existing Administrator remove the appointment from the Bookings calendar. The administrator must use the web interface in order to have the meeting removed from all calendars and for the system to send the cancellation notice to the customer.
