  • AR Invoice Header Reminders

    This post shares two reminders about invoice headers. 1 - Be sure to include contact information for your department or unit in the “Memo” field of the invoice header so that your customers can connect with you directly about invoice questions. 2 - Bill-To Contacts must now be selected manually when creating an invoice. To ensure the correct contact(s) receive an emailed copy of an invoice, you must select them from the Bill-To Contact drop-down menu. See the full post for additional details. Please note that these reminders are specific to Accounts Receivable – i.e., external (non-Ohio State) customer billing. Also, these reminders are not applicable to billing for Sponsored Programs.
  • Upcoming AR Training Opportunities

    Spring offerings for Accounts Receivable training are now available for registration in BuckeyeLearn. Sessions include Foundations, Customer Invoicing, and Invoicing Best Practices, Correcting Billing Errors, and Collections on Past Due Accounts Receivable.   • New Reports: Accounts Receivable Aging

    Two new reports are now available in Workday for departments utilizing Workday Accounts Receivable. These reports are designed to help you monitor aging invoices by Customer, filtered by individual Department or Earnings Operation. Because Accounts Receivable activity appears on the Balance Sheet, Balancing Worktags are necessary to generate accurate reports. If your area doesn’t have enough detail in its Balancing Units, consider speaking with your Senior Fiscal Officer about creating additional Balancing Units to improve reporting precision.   • Change to Accounts Receivable Customer Creation and Edit Process

    Beginning May 1, departments and units selling goods and services on credit to customers (accounts receivable) should use the “Create Request” task in Workday to request new customer records and edits to existing records. Note, this change DOES NOT apply to Internal Order Billing (IOB) or cash sales. Communications about customer record maintenance will now include both system-generated emails and Workday notifications, rather than relying exclusively on email. You may still receive occasional emails if additional information is needed to process a request. This new process replaces the existing Qualtrics form used for customer data collection.   • Non-Student Accounts in Collections Converting to Workday the Week of May 16

    Beginning the week of May 16, non-student accounts in collections will be converted to Workday. This conversion out of Campus Solutions (SIS) may change where you view account balances.

    Most balances held in the SIS ledger accounts of 12210 and 12050 will convert to the Workday ledger account 12000.

    To review balances in Workday, use the General Ledger Balance report or the Find Journal Lines - OSU report. For balances remaining in SIS, continue to use the Student Financial Reports in Tableau.
