- Limited feature availability compared to Power BI Web Service
- The Teams integration does not support all Power BI Service features.
- Critical functionalities such as email notifications, downloading reports, and certain interactive elements may be unavailable or restricted.
- Users may experience a reduced reporting experience compared to accessing reports via the Power BI Service directly.
- Permission Management must be handled separately
- Embedding or sharing a report in Teams does not automatically grant view or edit access to team members.
- Report owners must manage user permissions separately in the Power BI Service. This can lead to confusion or access issues if proper permissions are not granted in advance.
- Navigation history is limited and device-specific
- The Power BI Teams integration stores navigation history locally, which is not persistent across devices or sessions.
- Users may lose track of previous views or filters when switching devices or starting new sessions, negatively impacting user experience.
- URL Filtering is unsupported
- URL-based filtering, a method to dynamically tailor report views, is not supported in the Teams interface. This limits the ability to create pre-filtered report links for specific user groups or use cases.
- Risks of sharing from a Personal Workspace
- Reports sharing from a Personal Workspace in Power BI are tied to an individual’s account. If that person leaves the organization, access to the reports is lost, and no one else can maintain or update them.
- Business-critical reports should never be in a Personal Workspace.
- Lack of Usage Insights
- When reports are accessed through Teams, it is difficult to track who is viewing the reports and how they are being used. This limits the ability to measure engagement or gather usage analytics for optimization and governance purposes.
Recommended Best Practice
To ensure better governance, continuity, and access control it is recommended to request the creation of a dedicated Power BI workspace in the Power BI Web Service.
