Viva Insights

Analyze the way time is spent to increase productivity and track multiple items, whether within an individual or team environment.

Microsoft Viva Insights provides information on two of the key factors involving personal productivity: how people spend their time and with whom they spend it with. The user can set up a weekly update email for themselves and for their team to track their progress or the team’s progress.

Viva Insights Products and Features

Microsoft Viva Insights is a suite of several products some are included and some require additional purchases.

  • Viva Insights: The new name for the MyAnalytics product that we have a license enabled for everyone to use.
  • Viva Learning: We have a limited-use license enabled for everyone to use. There is a premium Viva learning license with more features that can be purchased.
  • Viva Connect: We have a limited-use license, however this product requires special setup and additional configuration.
  • Viva Engage: The new name for the Yammer product that we have a license enabled for everyone to use.
  • Viva Goals and Viva Sales are products that are not available and require additional purchases

An additional feature of Microsoft Viva Insights is the ability to use the Windows 10 Activity History data, which is off by default and you must opt-in to enable.

Windows 10 activity history data refers to the things people do on their device, such as the apps and services they used, whether they worked on a document, and whether they browsed the web. The activity history is stored locally on the device, and if the employee is signed into the device with a Microsoft account and gives permission, Windows sends the activity history to Microsoft.

Viva uses Windows 10 activity history data to compute insights (for example, time spent in apps, multi-tasking in meetings) about a person's work habits. These insights are private and stored in the person's Exchange Online mailbox.

Note that if you choose to send Windows 10 activity history to Viva, activity data is saved and associated with your organizational (osu.edu) account even if you use a non-work or non-school account (for example, a personal live.com or facebook.com account) to connect to the app or service. However, activity data is not saved when you browse with InPrivate tabs or windows in the Microsoft Edge web browser.

Daily Briefing Email Note

In February 2023, the daily Viva briefing emails stopped being sent to people who had opted in. Microsoft is taking some time to improve the content of the briefing emails from Microsoft Viva Insights to be more personalized for each recipient. No timeframe has been given as to when the new daily briefing emails would start being sent again.

For people who rely on the daily briefing email functionality for meeting prep and outstanding task reminders, booking focus time, and recommendations to improve work patterns can instead use the Viva Insights Outlook add-in or the Viva Insights app in Teams and web.
