Steps to Run Reports
- Log in to Tableau.
- Navigate to the SFB suite of reports and select the report to run.
Select
to open the filters and details pane.
To apply a saved view, select
(in this example, “Original” is the name of the current view) and select an option from the My Views and Other Views sections of the Custom Views dialog box. The filters associated with the view will be applied automatically. See Step 6 for more information on saving views.
- Select and apply report filters.
- The default view of the report will not bring back any results because all filters are set to None. Be sure to either select specific values to narrow your results or select All for every filter available to return results.
Hover over a filter and select
, Show all values, to quickly change the value from None to All. This change will be automatically applied.
- If you choose to select specific filter values, be sure to select Apply.
- Tableau applies filters dynamically as you select them. When you have selected and applied filters that match rows in the data source, results will be displayed.
Click
to close the filters and details pane.
- When both accounting period and date range criteria are available, as in the SFB10, if you want to view the entire accounting period, be sure the dates are also updated to reflect the entire accounting period.
- You can narrow or expand your results by reopening the filters and details pane, updating filters, and applying the changes.
- Review report results.
- If you review the report online, note that there are both vertical and horizontal scroll bars.
Select
, Crosstab as the file format, and Download to download the report to Excel or CSV. If you expect to return a large data set, downloading to CSV is advisable.
- Save the view and filters for this report, if appropriate.
Save filter selections so you can easily reproduce this view of the report using the following steps.
To rename or delete saved views, open the Custom View dialog box and select Manage Views.From the right side of the gray report header, select
. When you first open a report, the view name will be “Original”.
- Type a Name for this view in the Custom Views dialog box.
- Select Make it my default to have this view of the report displayed every time you open the report. Keep in mind that making a custom view your default will apply the saved filters every time you open the report.
- Select Save to save the view and close the Custom View dialog box.
Important Information
- For all reports, it is important to confirm or prove results in Tableau with general ledger reports in Workday using the Find Journal Lines - OSU report for transaction detail or the General Ledger Balance report for student balances.
- Be sure to select specific filter values to narrow your results or select All for every filter available to return results.
- If you use a saved filter that includes dates or accounting periods, be sure to check both whenever you use the filter. If dates are not updated to include the entire accounting period, you will not get complete results.
