Coming Soon : Business Processes Awaiting Action – Journals:
Two new reports, "Business Processes Awaiting Action – Journal Summary" and "Business Processes Awaiting Action – Journal Detail" will soon be released to expand on the "Business Processes Awaiting Action" report suite. These two reports will also be added to the report group "Business Processes Awaiting Action Report Group" and the corresponding dashboard. This reporting will allow end users to locate journals that still have review and approval steps left in the business process.
Find Journals – OSU Enhancement:
The Workday report "Find Journals – OSU" has been updated to include the "Created Date" for the journal on the report output.
Internal Service Provider Billing Enhancements:
The report Internal Service Provider Billing has been enhanced to include additional worktag columns in the output of the report, due to changes to the EIB template. Those columns include Grant Treatment, Sponsor, CSI Code, Prevailing Wage, and Academic Period.
Find Purchase Order Summary – OSU Enhancements:
The report Find Purchase Order Summary – OSU has been enhanced to include additional columns on the output of the report. Those columns include Cost Center Hierarchy 6, Cost Center Hierarchy 7, Cost Center Hierarchy 8 and Cost Center.
Select Sources and Uses Reports Enhanced:
Select reports in the Sources and Uses suite of reports have been enhanced to provide a better experience for infrequent users of financial reports. A summary of the changes, and a list of enhanced reports is available in the full post.
A new series of reports has been released to help end users identify transactions that are still in draft status or have been submitted, but are pending approval steps. These reports also offer metrics to show the amount of time the transaction has been pending an approval step as well as length of time spent in progress. The business processes included in the new reports are Requisitions, Spend Authorizations, Expense Reports, Miscellaneous Payment Requests, Supplier Invoice Requests, Supplier Invoices and PO Change Orders.
There are two different styles of reports, a "Summary" version and a "Detail" version. The report naming conventions are "Business Processes Awaiting Action - (Transaction Type) Summary" or "Business Processes Awaiting Action - (Transaction Type) Detail." Additionally, a dashboard and a report group are available. Additional features are listed below.
The summary-style reports display the security groups awaiting action, number of transactions, days since assignment and days in progress. The detail-style reports display one row per transaction and include the security group and persons awaiting action, days since assignment and days in progress. Basic funding information is also displayed in this reporting. The dashboard, "Business Processes Awaiting Action - Finance/Supply Chain" displays all summary-style reports. The report group "Business Processes Awaiting Action Report Group" allows end users to enter one set of prompts and have all reports download into one Excel file.
A new report is now available for end users to view journal line detail on income statement reporting. The report "Find Journal Lines - OSU - Posted Journals by Amount Type" can be used to find the journal line details behind the data columns in reporting such as Equity Balances by Balancing/Carry Forward Worktags and Sources and Uses.
The Tableau "Financial Balances Summarization" report has been updated on "Project" field. Now, project and project phase code amount will be added in "Project" field.
Starting the week of January 29 , the “Find Supplier Invoice Details – OSU” report will be enhanced with a new "Line Memo" field in the output of the report. The line memo field includes details associated with a purchase for the line. Some internal billing teams are leveraging this field to provide additional clarity in the invoicing for their customers (e.g. tag number, date order was placed, order number, etc.) to verify the customer is billed for the correct record.
Enhancements have been added to the output of both the "Business Process Approval Times – Miscellaneous Payment Request Detail" and the "Business Process Approval Times – Miscellaneous Payment Request Summary" reports. The enhancements include a new column on the output of each report to display the approval time for the workflow step “Accountant OSP.” This approval step will be added into the Miscellaneous Payment Request workflow as a part of the petty cash project.
Business Process Approval Times – Supplier Invoice Request Reporting Enhancements:
Enhancements have been added to the output of both the "Business Process Approval Times – Supplier Invoice Request (SIR) Detail" and the "Business Process Approval Times – Supplier Invoice Request Summary" reports. The enhancements include two new columns on the output of each report, one to display the approval time for Business Operations Center Leads and one to display the approval time for Grants Operations Center Leads. These additions are due to the change in workflow on Supplier Invoice Requests where they now route to Service Center Leads on the SIR rather than routing for approval on the Supplier Invoice.
The Spend Report Exceptions Dashboard will be retired on Friday, December 29 . Please utilize the "Exceptions Dashboard" as it has the latest in exceptions reporting available. Alternatively, the "Schedule A Report" task can be used to run the "Exceptions Report Group." This allows users to run three exceptions reports with one set of prompts and all reports will be downloaded into one Excel file.
Miscellaneous Payment Enhancements:
"Find Miscellaneous Payment" reports have been updated with additional prompts to allow users to see information for their specific college or unit cost centers that must be recorded on OSP worktags as part of the cash advance for human subjects process. To view cash advances for human subjects on OSP grants associated with your specific college or unit, enter the Requester’s cost center or cost center hierarchy as of the date the Miscellaneous Payment was submitted. See further information in the Reporting Tip shared via the Business and Finance site.
The dashboard "Spend Report Exceptions" will be decommissioned on Friday, December 29 . End users should utilize the new "Exceptions Dashboard" for viewing policy exceptions for requisitions, expense reports, and supplier invoice requests. A report group could also be scheduled for viewing exceptions. To run the report group, use the Schedule a Report task and enter "Exceptions Report Group" in the report name. The report group can be run in real time or scheduled for a later or reoccurring date.
Prompt Enhancements to Business Process Approval Times - Summary Suite:
Several prompts have been added to all reports in the "Business Process Approval Times - Summary" suite. The Grant Hierarchies field has been added to allow searching for transactions specifc to the Office of Sponsored Programs (OSP) and an Exclude Worktags field has been added to allow for exclusion of OSP transactions (by excluding FD520), as well as other worktag types. Additionally, a new Cost Center prompt as well a Cost Center Hierarchies prompt have been added to allow end users to search by any cost center and/or hierarchy level. Please note, for split-funded transactions, only one cost center and corresponding CCH are pulled from the transaction. The line distribution for the highest amount is the line from which the cost center and cost center hierarchy are drawn.
HR for Finance - Compensation Changes Enhancements:
New fields have been added to the output of the "HR for Finance - Compensation Changes" report (excludes changes from Hires, Add Job and Change Job). These fields include Current Base Pay Annualized and Proposed Base Pay Annualized. The enhancements are to show annual pay in a consistent manner for both exempt and non-exempt employees.
In preparation for Position Control enhancements, a new "Central Review Required" field has been added to the output of the "Cost Center – FDM Values" report. This field will be used to identify whether a cost center will require central review within the job requisition business process.
Find Purchase Order Summary – OSU:
The "Find Purchase Order Summary – OSU" report has been enhanced with two new additional fields to the report output. The new fields are “Initiator of BP” and "Last Activity Date." The "Initiator of the BP" (Business Process) identifies who initiated the business process while the "Last Activity Date" field was added to help end users find purchase orders that have not had recent activity.
Find Purchase Order Details – OSU:
The "Find Purchase Order Details – OSU" report has been enhanced with two new additional fields in the report output. The new field names are “Last Invoice Date,” and "Last Activity Date." These fields were added to help end users find purchase orders that have not had recent activity. This allows end users to identify which purchase orders may need to remain open and which ones can be closed.
A new filter has been added to the "Historical Paid Vouchers (APU111DW)" tableau report. Users now have the option to select PO ID in Historical Paid Vouchers dashboard filter tab along with the other filters.
Exceptions Reporting:
To accommodate changes to policy exception tracking in Requisitions and SIRs, there are several reporting changes pertaining to Exceptions which are further detailed in the full NewsLink post.
As of Friday, November 3 , the "Calculate Current Year Retained Earnings" checkbox will be retired by Workday.
Using this checkbox tells the report to calculate ending equity balances by taking beginning equity balance – net margin. Those who still need comparable behavior may utilize the "General Ledger Balance – Balance Sheet Details" report which will calculate ending equity in this manner.
