New Supplier Registration Site Available Oct. 17
Beginning Monday, October 17, a new Supplier Registration site will serve as the registration form for new supplier requests. The site will replace the PDF form currently used by both the university and the Wexner Medical Center. The Supplier Registration site is powered by Workday and will help improve the quality of information we gather from suppliers and streamline the supplier request and setup processes.
What’s Changing:
Vendor Setup form replacement
The PDF “Vendor Setup Form” is being replaced with the Workday Supplier Registration site. This site link will be managed centrally by the supplier administrators who will work directly with prospective new suppliers.
Request process for adding new suppliers
Ohio State end users/initiators that have access to create requisitions will now submit a non-catalog purchase requisition without a supplier, be sure to add as much information as possible about the new supplier. The fiscal approvals will continue as they do today. In addition, requisition without a Supplier will be further vetted by Service Centers/Buyers, Commodity Managers, and Supplier Administrators. The Supplier Administrator will invite the new prospective supplier after the request has been approved. Once the supplier completes registration and the Supplier Administrator team screens the supplier, the supplier will be created in Workday and the requisition will be fulfilled. This process streamlines the addition of new suppliers while remaining compliant and provides transparency for all parties involved, including the supplier.
Improving data security
Interaction with prospective suppliers will happen through the Supplier Registration site, this keeps sensitive data out of end user inboxes.
What's NOT Changing:
- The “Vendor Setup Form” will still be used for Misc Payees and Supplier Invoice Requests.
- The remaining steps in the Purchase Requisition process will remain the same.
- The supplier update process will continue as it does in the current state.
